Monitoring hours of service
Employee hours of service (hours for which the employee was compensated through payroll) are assessed by My Workforce Analyzer during your company's measurement period. Part-time employees with 130 hours or more per month are monitored for full-time equivalent status, where employees with hours less than 130 hours per month are monitored for part-time status. Employees who have hours of service close to these thresholds may be reclassified at the next administrative period.
Note that these are not actual hours the employee works, but calculated hours of service—click How is my workforce analyzed? below to learn how the system determines these values.
Using the Monitoring hours of service panel
Note: The panel displays 2 full years of information from the current month. For example, when viewing the Hours of service panel in June, 2016, your company's information will display for July 1, 2014 through June 30, 2016.
On the Monitoring (tab) > Monitoring hours of service panel, you can view:
- Part-time employees. As defined in the Setup > Employees/Service Hours window, Employee Types section. Use the tab to monitor part-time employees with monthly hours of service greater than or equal to 130 hours. This high-level overview can help you identify any hours of service anomalies.
- Full-time employees. As defined in the Setup > Employees/Service Hours window, Employee Types section. Use the tab to monitor full-time employees with monthly hours of service less than 130 hours. This high-level overview can help you identify any hours of service anomalies.
Tip: Click on an employee's name in either the part-time or full-time graph to view the Hours of service by pay period for that employee. Paychecks issued for a single employee for the same pay date are combined and listed as one record on this detail.
- Detailed information. Click the link on the full-time or part-time tab to open a detailed Hours of Service report of employees' calculated hours of service by month for the full date range. Use this report to identify actual calculated hours of service.
About calculated hours of service
My Workforce Analyzer uses your employees' calculated and not actual hours of service by month for every month in the analysis panels. When your pay period is in two calendar months (for example, November 22 - December 5), the system must use a calculation to determine the employee's hours of service for each individual month. When the pay period is in a single calendar month, no calculation is necessary.
When the pay period runs into the next month, the system calculates hours as service as follows:
- The number of days in the pay period
- The number of days in the pay period that fall in each month
The number of hours for which the employee was compensated in the pay period
